How to extract attachments from MWFMAttachement when moving to Abila Multi-Tenant Hosting Server

Pre-Requisites:
  • Unzip files to your MIP/MICROIX SQL Server
  • Login user must have access to SQL Server as the utility uses trusted connection to SQL Server
  • Verify you have enough free disk space to accept the exported documents
  • You may use the Microix Share\Attachments folder or any other physical, network or external location acceptable
  • If using multiple Microix databases, create an export folder for each database

Run the executable file called “MicroixAttachmentUtility.exe” and enter the following information:
  • SQL Server – Name of your MIP/Microix SQL Server including the instance name
  • Attachment Database Name – accept default if the database name was not changed
  • Microix Database Name – Accept default if the database name was not changed
  • Export Location – Accept default or change if needed. If using multiple databases, change the value for each database being exported
  • Limit Top Records – Accept default or adjust to limit the number of attachments to be exported (ONLY used for testing a small amount of data before exporting all)
  • Encrypt Files – Accept default “YES”, only reason to use NO if you are no longer using Microix and need to export for access without encryption
When ready, click the export button to start the process. Repeat the process for each database and remember to change the export location. It is NOT recommended to export multiple databases into a single location/folder.

After exporting attachments, it’s important to verify Workflow modules will continue to view attachments from the drive path. Login to Workflow modules and navigate to Maintenance>Global Options>Application Options and check the option "Save Attachments to UNC Path" and enter the location of the attachment folder. Re-login to Microix and randomly test a few documents to verify attachments are accessible. If not, check the permissions  of the attachment folder as it should have read/write permissions


If the users get the below error when viewing attachments after performing the above steps - Navigate to Maintenance - Global Options - Application Settings - check GSID900.



Finally , if you do not have any problems viewing the attachments and a backup of the MWFMAttachement was taken, you should  remove the attachments from the SQL database using the DELETE button shown below. This process will remove the file but keep a small record of the entry including the file name and description. It is also recommended to shrink the database using SQL Management Studio to help reclaim some of the empty space and reduce the database size. (NOTE: Delete option will utilize the value from “Limit Top Records”)
