Workflow Modules v2021 Release Notes

Pre-requisite:
  1. SQL Server 2012 or higher
  2. Windows 64 bit OS (32bit OS require special installer and updates)
  3. .Net Framework 4.7.2 or higher
  4. Reinstall of both Server and Workstation for all version prior to v2021
Version 2021.001.5 Released 4/07/2021

NEW Microix Support Password and changes to the Microix default password behavior
1.      Web Application (Abila Cloud) – Microix default admin password will be allowed for the admin account but cannot be used with other user’s account
2.      Web Application (Abila Cloud) - If customer changed the Microix default admin password, they are allowed to use the admin password to sign-in under a differ Microix account as long as GSID 1 is allowed
3.      GSID 2 will allow Microix Support to login as Admin or into a user’s account (if GSID 1 is allowed)  in both Web and Windows hosted or non-hosted environment. Customers have the ability to turn this feature off using GSID 2
4.      Windows (Hosted/On-prem) and Web (On-prem ONLY)  are not affected by these changes and will continue to allow the Microix default admin password to be used with another Microix account as long as GSID 1 is allowed
  1. Web Application for Purchase order entry, set the width of segments and qty, so that all the columns of in data grid will fit in one screen, eliminating the horizontal bar based on number of segments
  2. Resolved, Web Application for Purchase order entry, after changing distribution code, address of VendorID changed
  3. New validation when receiving or picking inventory to ensure GL code and Location value are valid
  4. Added line item data column from purchase order to the receiving form if user need to received based on date. Example, created a purchase order for 12 months of expense and need to received a month at a time
  5. NEW! Option to create a sample data (Should NOT be used for production database)
  6. Resolved:  HTML/CLOUD/WINDOWS – Attachment name with a comma were failing to send email when using HTML
  7. Resolved: Document skip to next level OR if workflow has general & Alternate Approval with attachment, then error while Approving
  8. Validation of account codes while importing PO line items from Excel
  9. Email to approver and alternate approver changes slightly, general approval will show in the TO field and Alternate approver will show in CC field

10. NEW! Microix Mobile Data Solution (MDS) for use with Barcode Device

11. Resolved issue with Purchase order not showing correct available fund due to using distribution codes
12. Inventory build assembly will display total cost before building the assembly
13. NEW! Option to allow Request Items from Inventory document to include non-inventory without requiring a split to purchase order
14. NEW! Report for consolidate purchase orders details
15. NEW! option to apply tax to a Purchase Order document as a separate line item
16. Batch Scan Feature was enhanced to include a field for entering invoice number and the list of available documents are now searchable and include the total number of attachments per document

17. Inventory Items, Shopping list (both inventory and non-inventory) will show expanded view of the description

18. New! Routing process based on direct routing vs incremental routing. This feature is only available at the requester level setup and cannot be accommodated at any other level. To activate this routing type, check the GSID option 65 and configure the workflow routing as shown in the example below:

Dana Approves between 0-$250
Frederick Approves between $251-$500
Millie Approves between $501 and $1,000
Anna Bell Approve over $1001


19. Document detail UDF are now available for API and ENL through the forms designer
20. Resolved shift code default federal holiday for President and Memorial Day

1.  Top Vendor and Item chart changed to donut chart and records shown was increased to 10 from 5


2. Organization Workflow  - New button to duplicate existing workflow and new import options for importing requesters and approvers




3. Enhanced Funding Source Fiscal Year to accommodate a second segment (sub account) Microix Help Desk - Fund Source Fiscal Year Period - Knowledge base

4. While uploading employees to all time clocks, admin permissions can be set or removed


5.  Expanded Time Clock Device functions to include deleting a user from the time clock or manually polling the clock for attendance data




6. Punch out option to build shopping cart and/or inventory items. A purchase order will not be created

2. Application status bar enhanced to include additional information (CPU Name, Company ID and  MCMS Sync State). Its primarily used to help resolve issues in hosting environment

4. Activation Code
    1. New activation code is required for v2021
    2. If error during activation, message box will provide more details to help sales verify information in our MCMS database.



5. New PDF Viewer and Web Cam built into the attachment
    1. PDF Reader is no longer required on Servers/Workstations
    2. Files other than PDF will continue to open with native application
    3. Take picture of receipts with laptop/PC web cam (on premises ONLY feature)



View all attachments side by side with the Microix Document, especially useful when viewing multiple receipt for credit card purchases



Global Setting option (901) was added to revert the attachment process to pre v2021.


6. New Spreadsheet control
    1. Server/Workstation no longer need a copy of excel to create an import template
    2. When creating an import template, Microix will open the new spreadsheet form, users will be able to edit and save the data


7. New Document Manager to allow documents to be docked horizontally or vertically or un-pined from the tabbed interface
8. New “Close All Document” option when multiple forms are open


9. Quick find that will search all columns for a value

10. All text column are defaulted to “Contains” search function. You no longer need to use a wild card option (%, *)


11. When using grid column filter, you now have option to use multi-select for specific values or continue to use text search


12. Global Options>Application Options – some items were moved


13. Take picture of assets or inventory items using a PC/Laptop web cam (on premises ONLY feature)

14. Inventory>Report - New Asset Master List with activity history

ALL MODULES
- We now display the Computer Name and Login User in the application status bar. This will help identify which terminal server the user is connected when using Abila Cloud since they have a farm of terminal servers.
- Some core MIP tables are now synced in Microix Database to reduce load
- Replaced "Abila" keyword with "MIP" throughout the application

REQUISITION
- Multi-line distribution codes can be used when creating a purchase request from the Shopping Cart List. Previously, it was limited to single line distribution codes. 
- When using a distribution code with a workflow that has a default value set in the account restrictions, the system will automatically override the distribution code segment value with the workflow’s default value
- When shopping list items are defined with a distribution code, the system will use the item’s distribution code when the document is created from the Shopping List form. (NOTE: It will not behave the same when selecting the item on a document, the user has to manually select a distribution code)
- Microix document number will default in the Invoice Description
- Resolved: While creating API from Items Received for Non Inv. item, if receiving is required it allows to create API with more than received qty
- Resolved: List of Document Detail Report does not save layout for Summary View
- A new field was added to Inventory Items to store the Vendor’s Auxiliary Item No mostly used during vendor punch-out 
- Resolved inventory record not being removed when canceling a received order
- Added custom function to execute store procedure against a purchase order

TIMESHEET
- Resolved Time Clock Display issue when "Cloud Server Time zone Variance" has a value (GSID - 166) 
- Resolved Workflow column was missing in "Time Clock Entries Summary by Week" report
- Weighted average included earning codes with Pay Type leave which should be been ignored due to calculation method as ER. It only ignored if calculation method was RM
- Resolved error when sending punch data from MicroixCloud.com. Inactive Users causing the error
- Resolved: Time Clock Summary Report by Week, it was including denied leave hours on the report
- Resolved: Holiday rule when work before and after holiday option is turned on

ALL MODULES:
- Host Mode (Abila Multi-Tenant) will no longer allow viewing of office documents, you will be prompted to save the document and open with local copy of Office license. PDF files will continue to be viewed on the server. It is recommending to save all files to Microix as a PDF going forward to help reduce the steps to view an office document
- Host Mode (Abila Multi-Tenant) Microix Cloud Companion no accommodates multiple SQL Servers
- HTML approval is available in Abila Multi-Tenant hosting
- Resolved - Product registration errors in hosting environment
- Added HTML approval in Abila Multi-Tenant environment
- Company ID and NPS Number values are now visible during product registration

TIMESHEET
- New - Added workflow column to the Time Clock Early/Late punch report
- Resolved - When timesheet is re-routed to the requester and approver adds a reason, it was not included in the email notification
- Resolved - Auto midnight entry were not being added for the end of the work week
- Resolved - iClocks purchased in FY2017 are now compatible with our MicroixCloud.com server sync feature
- New - Added daily notifications if MicroixCloud.com server detects an offline timeclock
- Resolved - Error during batch creation of timesheet based on shift schedule

REQUISITION
- New - When using the document scanning feature, the default scan will use grayscale to help save on file size and an option was added to select color
- New - A global setting option was added to prevent over payment against encumbered purchase orders
- Resolved - American Express direct connect feature no longer work and had to manually import. AMX changed their account code format and adjusted for the change
- New - Approval emails now include line item date
- New - Added “Expense Inventory” to the import process for inventory item master
- New - While importing requisitions, you can now specify a line item date
- Resolved - When selecting a different currency, it reverted to USD (Affected multi-currency customers ONLY)
- Credit Card import description was change to include the User Name and Bank Name
- Resolved - Inventory shopping list displayed some item with a lost cost of zero when it had a valid cost

BUDGET
- Resolved - Microix column was showing an incorrect amount when viewing the Display Account Balance Report
