How to Change a Document’s Status

Overview
This article explains how administrators can manually change the status of a document within the system. This process is useful when a document needs to be moved to another workflow level in the automated routing process.

⚠️ Important: Only users with Administrator rights can perform this action. Ensure you are familiar with the document’s workflow levels before proceeding. Moving a document to an incorrect workflow level will disrupt routing.


Steps to Change a Document’s Status
  1. Navigate to Requisition/Purchase Order>Document Search
    • Use the search function to locate the document you wish to change the status
    • Highlight the document from the search results.
  2. Click on “Change Status” located in the page toolbar
    • Use the dropdown menu in the “New Status” field to select the desired workflow level.
    • Enter a justification for the status change in the “Reason” field. This note will be recorded in the document’s audit trail.
    • Click the Process button in the bottom-right corner to finalize the status update.


NOTE: This action will record an entry into the document audit trail for transparency and compliance.
