How to Change a Document’s Status
Overview
This article explains how administrators can manually change the status of a document within the system. This process is useful when a document needs to be moved to another
workflow level in the automated routing process.

Important: Only users with Administrator rights can perform this action. Ensure you are familiar with the document’s workflow levels before proceeding. Moving a document to an incorrect workflow level will disrupt routing.
Steps to Change a Document’s Status

Navigate to Requisition/Purchase Order>Document Search

Use the search function to locate the document you wish to change the status

Highlight the document from the search results.

Click on “Change Status” located in the page toolbar
- Use the dropdown menu in the “New Status” field to select the desired workflow level.
- Enter a justification for the status change in the “Reason” field. This note will be recorded in the document’s audit trail.
- Click the
Process button in the bottom-right corner to finalize the status update.
NOTE: This action will record an entry into the document audit trail for transparency and compliance.
