How to Assign a Substitute Approver

Overview

If you are an approver in Microix Workflow Modules and plan to take leave, you can assign a substitute approver. The substitute will handle approval tasks during your absence, and the system will automatically return you as the main approver on your specified return date.

Note: If you return early from your leave, use the early return option that is available on the substitute page. 


Pre-requisites (Administrator Only)

Before approvers can assign substitutes, an administrator must grant permissions for the Substitute button.

  1. Navigate to Maintenance > Security from the navigation menu.

  2. Select Button/Function.

  3. Search for Substitute.

  4. Grant permissions for the appropriate pages where the Substitute button should be available.


Steps for Approvers

1. Log in to Workflow Modules

Access the Microix Workflow Modules with your account.

2. Navigate to Approve Documents

Go to the appropriate module and open the Approve Documents section.

3. Open Substitute Drawer

Click the Substitute button to define your substitute approver.

4. Fill Out Substitute Details

  • Original Approver – This field defaults to your name.

  • Approval Levels – The system automatically populates all approval levels where you are assigned.

  • Substitute Approver – Select the person who will substitute for you. Only users with approval roles are eligible.

  • Substitute Start Date – Enter the date when the substitute should become active.

  • Return Date – Enter the date when you will resume as the main approver. On this date, the system removes the substitute and restores your approver role.


Important Notes

  • Substitute approvers must already have approval roles in the system.

  • Once the Return Date is reached, no manual action is needed — the system automatically reassigns you as the main approver.
