Extending the Time Limit for Attachments in Approval Email Notifications

Overview

By default, any attachment links included in approval email notifications expire 24 hours after being sent. This helps ensure sensitive data is not accessible indefinitely. However, administrators can extend this time limit if needed.


Steps to Extend the Time Limit (Administrator Only)

  1. Access the Global Settings page

    • Navigate to the Maintenance/ Global Settings page.

  2. Locate the Attachment Expiry Setting

    • Search for GSID 412 URL time limit (in minutes) ...

  3. Update the Value

    • By default, this is set to 1,440 minutes (24 hours).

    • To extend the availability window, increase the value. For example:

      • 2,880 = 48 hours (2 days)

      • 7,200 = 5 days

  4. Save the Changes

    • Apply the new setting.

    • The updated expiration time will apply to all approval emails and attachments going forward.


Important Notes

  • ⚠️ Security Consideration: If your attachments contain sensitive information, keep the expiration time as short as possible to minimize risk.

  • 🔄 Retroactive Effect: The new setting only applies to attachments sent after the change. Previously sent links will still follow their original expiration.

  • Approval vs. Attachment Links:

    • The expiration applies only to the attachment link, not to the approval button or link.

    • If the attachment link has expired, approvers can still take action directly from the approval email (if HTML approval is enabled).

    • Expired attachments can still be accessed by logging into the application to approve and/or view the document.
