Microix permissions are determined by access to Navigation Menu Items and their associated navigation buttons. Not all buttons or functions are secured — only those identified by Microix as requiring restricted access are controlled through this permission process.
Microix Workflow Modules use Role Templates to simplify permission management. There are three predefined roles available by default:
Each role template includes a default set of permissions that can be customized using the Role button to add or remove specific menu access rights.
⚠️ Important Note:
If you modify a predefined role, those changes will not automatically update for users who were previously assigned that role. You must reapply the modified role to each affected user to grant them the updated permissions.
💡 Tip:
You can also create additional custom role templates using the Role button.
Select a Role
Review Available Menu Items
A list of navigation menu items associated with the selected role will appear.
Click “Check All” to select all applicable permissions.
Assign Users to the Role
From the list of available users, select one or multiple users.
Click the Add button to apply the selected role’s permissions.
It’s best to assign users to workflows before granting permissions. Doing so helps you clearly identify who will serve as Requesters and Approvers, allowing you to filter users accordingly when applying each role.
After assigning role-based permissions, repeat the process for Button/Function permissions.
These control access to specific navigation buttons or special functions within Microix.
⚠️ Warning:
Do not grant Button/Function permissions to all users. These permissions should be limited to a small group of Microix Users or other authorized personnel.
Some buttons and functions are exclusive to Requesters, while others are specific to Approvers or Admins.
If you are uncertain about the appropriate permissions, please contact Microix Support for guidance.
Be selective when granting permissions for the Show All and Vendor List Activity options:
The Show All permission allows users to view all documents in the system.
The Vendor List Activity permission grants access to view vendor payment history for any vendor in the system.
Activating buttons for other menu items — such as My Document List, Approval List, and Document Search — is generally safe, as these options restrict visibility to vendor activities only within the user’s own workflows.
However, the Vendor List Activity button should be used with caution, as it allows users to view payment details for all vendors, including employee-type vendors.
Role-based permissions in Microix streamline access control and ensure users have only the access they need.
By carefully applying and maintaining Role Templates, you can maintain security and consistency across your organization’s workflows.
