The Display Account Balance screen presents a consolidated view of financial data derived from both MIP Fund Accounting and Microix Workflow Modules. The balances shown represent current, real-time values based on posted and unposted activity in MIP, as well as in-process activity in Microix..


๐Ÿ’ฐ Budget Column

Source: MIP Ledger
Description: Displays the posted budget amount from MIP.

Notes:

  • By default, Microix displays the Revised Budget version.

  • This can be changed in Maintenance โ†’ Application Options.


๐Ÿงพ Actual Column

Source: MIP Ledger
Description: Displays posted financial transactions.

  • Reflects only posted activity

  • Updates as transactions are posted in MIP


๐Ÿ”’ Encumbrance Column

Source: MIP Encumbrance Module (if applicable)
Description: Displays the current remaining encumbrance balance.

Key Details:

  • Partial payments reduce the balance

  • Adjustments and liquidations are reflected immediately after posting

  • Always represents the outstanding obligation


โณ Unposted Column

Source: MIP Unposted Transactions
Description: Displays the total value of unposted transactions entered in MIP or documents transferred from Microix.

Source: Microix Workflow Modules
Description: Displays the value of workflow documents that are actively in progress.

Included:

  • Purchase Requests

  • Purchase Orders

  • Invoices

  • Other expenditure-related workflow documents

Excluded until processed to a Microix Workflow Document:

  • Bank Feed transactions

  • Expense Reimbursements

  • Invoice Capture documents


โœ… Approved Column

Source: Microix Workflow Modules
Description: Displays the total value (obligations) that have been approved during the approval process. 

Configuration:

  • Final Approved level is defined in Global Settings

  • Default approved level is Level 10


๐Ÿ“‰ Available Column

Source: Calculated (MIP + Microix)
Description: Displays the remaining available budget after accounting for:

  • Budget

  • Actuals

  • Encumbrances

  • Unposted transactions

  • In-Process documents

  • Approved workflow documents

This represents the true available balance.


๐Ÿ›’ Purchase Orders & Payments โ€“ Common Questions

Does receiving a Purchase Order affect whether it is considered an obligation?

No. Receiving does not impact approved value/balances.
The Purchase Order remains until payment or adjustment occurs.


Do partial payments update balances?

Yes.

  • Partial payments reduce the remaining PO or encumbrance balance

  • Displayed values always reflect the current outstanding balance


Do encumbrance payments adjust balances?

Yes.

  • Payments and adjustments immediately update the encumbrance balance

  • Original amounts are not retained in the balance view


๐Ÿ” Document Drill-Down (Pop-Down) Behavior

The drill-down displays only documents contributing to the selected column.

If no documents appear:

  • No qualifying documents exist for that column

  • The account may contain only posted Actuals

The Display Account Balance screen provides a real-time financial snapshot, dynamically updating as transactions move through MIP and Microix. All columns reflect current balances, not original document values.
