Overview

This article outlines the process for importing users into Microix Workflow Modules using the Modern UI. It covers available import methods, required file structure, field expectations, and best practices to ensure a successful import.

Note: This article focuses specifically on importing users via a file (CSV/template). Importing from MIP’s Payroll Module is supported but not covered here.

Import Methods

Microix currently supports two methods for importing users:

  1. From MIP Payroll Module
  2. From a File (CSV/Template) ← Focus of this article

Prerequisites

Before beginning the import process, ensure the following:

  • You have access to Microix Workflow Modules (Modern UI)
  • You have appropriate permissions for the User Maintenance menu
  • You have a properly formatted import file (generated from the Microix template)
  • Required reference data already exists in the system (if applicable), such as:
    • Workflow IDs
    • Addresses
    • Related entities within Microix/MIP

Creating the Import Template

To ensure correct formatting, always start by generating the Microix import template:

  1. Navigate to:
    Maintenance → User Maintenance
  2. Click Import
  3. Select Create Template for Import Data
  4. Click Import/Process

The system will generate a template file.

Preparing the Import File

Once the template is generated:

  • Open the file and populate it with the user data you want to import
  • The template may include existing user data:
    • You may delete existing data rows if not needed
    • Do NOT delete the first row (column headers)

Important Notes

  • The first row contains required column headers that define each field
  • Each column corresponds to a specific user attribute (e.g., username, email, workflow assignment)
  • Modifying header names or structure may cause import failures

File Requirements

To ensure a successful import:

  • Use the Microix-generated template only
  • Maintain the original column headers and order
  • Ensure all required fields are populated
  • Avoid:
    • Blank required fields
    • Invalid or mismatched data types
    • Duplicate user records (unless intended for update scenarios)

Best Practices

  • Start with a small test import before importing large datasets
  • Validate data consistency (emails, IDs, naming conventions)
  • Keep a backup of your original file before importing
  • Use consistent formatting (no extra spaces, standardized casing)
  • Coordinate with your team if importing users tied to workflows or approvals

Summary

Importing users via file in Microix Workflow Modules (Modern UI) requires using the system-generated template and adhering strictly to its structure. Proper preparation and validation of your data will significantly reduce errors and ensure a smooth import process.
