Question

Why do invoices created by one user show another user’s name under the Status/Level column in My Documents?

For example, John Smith creates an invoice using Invoice Capture, but the invoice appears under Level 10 with Mary Jones’ name.

Explanation

The My Documents list displays documents created by the currently logged-in user, who is considered the Requester.

Because My Documents already represents documents created by that requester, the requester’s name is not displayed again in the Status/Level information.

Instead, each document is grouped by its current Workflow Level, and the name shown for that level is the Approver assigned to that workflow level.

For example:

  • John Smith creates an invoice using Invoice Capture.
  • The invoice is currently waiting for approval at Level 10.
  • Mary Jones is assigned as the approver for Level 10.
  • The document will therefore display Level 10 – Mary Jones.

This does not mean that Mary Jones created or processed the invoice. It indicates that the document is currently at a workflow level for which Mary Jones is responsible for approval.
