Microix’s AI‑powered OCR streamlines invoice processing by automating data capture, reducing manual entry, and improving accuracy. Users can drag and drop invoices or pull them directly from a monitored mailbox, and the system automatically scans, extracts key details, and links the invoice to an approved purchase order when applicable. Built‑in validation checks detect duplicates and errors, while confidence ratings help ensure reliable results.

Once the invoice is verified, Microix routes it through the established approval workflow—no manual follow‑up required. Approvers can review, edit coding, reject with comments, and view the original PDF side‑by‑side from any device, with full visibility into budgets, attachments, and prior approvals. After approval, the invoice transfers seamlessly into MIP Fund Accounting, eliminating rekeying and ensuring clean, synchronized financial data.

The result is faster processing, fewer errors, and a more accountable, consistent AP workflow.

Trial Period Details(If you do not decide to purchase in advance)

Duration: 60 days (Upon request, the trial can be extended for a minimum of 30 days.)
Start: The trial automatically begins once the client has access to the Modern software.
Assistance During the Trial: Clients may purchase one hour of support if assistance is needed during the trial period.
Deactivation: If the feature is not purchased, trial access will automatically be disabled after 60 days. All documents created during the trial will remain intact and accessible.

Scope of Services – Invoice Capture (2 Hours)

This session provides a focused, hands‑on walkthrough of Microix Invoice Capture to ensure your team understands how invoices are received, validated, routed, and processed.

1. Overview of Invoice Capture

•            Explain what Invoice Capture does (automated scanning, data extraction, PO matching, workflow routing).

•            Clarify what Invoice Capture does not do (e.g., it does not replace accounting review, does not override missing data from MIP, etc.).

2. Intake Methods

•            Demonstrate how invoices enter the system using your organization’s actual process:

•            Email ingestion (monitored mailbox)

•            Drag‑and‑drop upload

•            Manual import

3. Reviewing & Validating Captured Data

•            Walk through how OCR extracts invoice details.

•            Validate key fields such as vendor, invoice number, dates, amounts, and PO linkage.

•            Review confidence ratings and how to correct low‑confidence fields.

4. Attachments & Approval Routing

•            Show how supporting documents are attached and stored.

•            Explain how invoices move through your configured workflow.

•            Demonstrate approver notifications and approval options.

5. Exception Handling

•            Review how the system flags and manages exceptions, including:

•            Missing or unmatched purchase orders

•            Mismatched totals

•            Missing or incomplete coding

•            Demonstrate how to resolve exceptions before processing.
